Instructions for administrators
Creating New Accounts
The creation of new accounts (Staff or Researcher) can take place in two ways:
- Via FORM:
Go to the page Users List and within the menu
Actions one of the following actions:
- Insert Staff User
- Insert Workflow Researcher
- Via CSV file upload:
Go to the page Users List and within the menu
Actions select:
Please Note:
- On the page Upload Users from CSV
you will be able to download the CSV template to use.
- The creation of users produces the sending of an email to the inserted users for the activation of their new accounts.
Account management
To manage a user in your institution,
go to the page Users List and click on Details
User Status and Timing
A user's account can be in one of the following User Status:
- Not active
- Active
- Blocked
- Expired
- Not valid
- Password reset
If the account is not activated within 3 months after creation, it is automatically deleted (with notification to the administrator).
If an active user is not present in the WorkFlow della Ricerca, it will be marked as 'Not valid'.
After 6 months from entering the 'Invalid' status, the account is deleted.
After 15 days from the expiry date of an account, the account is marked as 'Invalid'.
After 6 months from entering the 'Invalid' status, the account is deleted.
Massive actions on Accounts
In addition to the management of the individual user account,
you can perform massive actions that involve all accounts depending on the role they have within your institution.
The available actions in the Actions menu are:
- Check Users on the WorkFlow della Ricerca
, which allows you to check all Researcher users within the WorkFlow della Ricerca.
- If an expired user is present in the WorkFlow della Ricerca, it will be marked as 'Active'.
- If an active user is not present in the WorkFlow della Ricerca, it will be marked as 'Not valid'.
- Manage Users Entitlements
, which allows you to add or delete a value of the eduPersonEntitlement attribute to all users (Staff/Researchers) in your institution.
If you need a specific value of the eduPersonEntlement attribute that is not in the list, write us at
idpcloud-service@garr.it
- Contact Users
, which allows you to send an email notification to all users of your institution.
Please Note: This function cannot be used to exchange emails with individual users.
Download Users CSV
You can download a CSV file containing the data of all users of your institution. To do this,
go to the page Users List and within the menu
Actions, select Download CSV.
